5 Business Automation Tools To Compete With The Big Boys

How To Automate Your Business and Compete With The Big Boys

by Josh Marsden

How can your small business compete with the big boys?
Simple. You automate.
But how?
First, you need to let go.
If you want to grow, you simply can’t handle everything manually.
Chris Ducker of Virtual Staff Finder calls this the “Superhero Syndrome” — the feeling of being ultra-confident that you can handle everything on your own.
As a business owner, when you finally decide to take a different approach and not let your ego drive you towards “Superhero Syndrome”, you know that you have to automate your business as much as possible to be able to seize your business goals.

Here’s The Big Challenge

The clients we work with at ICE Accelerate want to know…
  • Which automation tools should I use…
  • to automate and accelerate growth…
  • that stay within my budget.
That’s exactly the question we will address in this article.
Let’s start with the…

4 Types of Business Automation Tools

Ready for a statement from Captain Obvious?…
There are A LOT of business automation tools out there.
But the truth is, they all fall within one of five major categories…
  • Email Marketing Tools
  • Marketing Automation Tools
  • Contact Relationship Management Tools
  • Shopping Cart Tools
  • All-In-One Solutions
And here’s the good news.
You don’t need all of them. In fact, chances are you’ll only need one or two of these tools to put the majority of these tedious manual tasks on autopilot.
(Don’t worry, there’s a downloadable Business Automation Tool Comparison spreadsheet you can download at the bottom of this article to compare 30+ tools in the marketplace)
Let’s take a look at each of these types of solutions in turn…

Email Marketing Tools

email-marketing-tools

What are Email Marketing Tools?

Email marketing tools allow you to…
  • set up web forms
  • auto responders
  • and give you basic email marketing reports (open rates, click-through rates, etc)
Autoresponders are singular sequences of emails that go out automatically after a web form is filled out.
Here’s an image of a web form from Active Campaign that, once filled out, would trigger an autoresponder. The email tool builds the web form and manages the sending of the autoresponder sequence.

They also have flexible API interfaces so you can integrate with the other systems we’ll discuss, such as contact management systems and shopping cart solutions.

When to Use Email Marketing Tools

At the very least, you’ll need a basic, free email marketing tool.
Mail Chimp has a free, no obligation plan so businesses can start to use email marketing in their business early on.

Marketing Automation Tools

business-automation-marsden3
The next step up from email marketing is Marketing Automation.
Marketing Automation does everything email marketing does but also gives businesses the ability to set up dynamic rules for when actions or behaviours are shown in your follow-up email marketing process.
They are also powerful in their ability to segment contacts dynamically as well. This allows companies to drill down their marketing efforts to the right segments at all times, automatically or on a whim.
The benefits of Marketing Automation allow companies to maintain strong email deliverability since contacts receive messages that are relevant to them instead of receiving emails that are irrelevant, which results in low engagement rates or emails which can easily be reported as SPAM. Both low engagement rates and SPAM effects a companies’ email deliverable rate, which is the rate at which emails sent end up in the inbox vs. junk.
Furthermore, when companies adapt Marketing Automation, they also have the potential to drastically increase conversion rates since they are sending relevant content, offers, and more to their contacts.
Altogether, Marketing Automation allows companies to adopt the philosophy of providing the right message at the right time to the right contacts, a benefit that cannot be understated.

What are Marketing Automation Tools?

Marketing Automation tools are powerful digital marketing platforms that allow companies to..
  • Do everything that the majority of email marketing solutions allow you to do
  • Segment contacts dynamically
  • Implement an “if, then” automated email campaign
  • Maintain strong email deliverable rates
  • Send the right message at the right time to the right contacts
When Marketing Automation tools are adopted and implemented effectively, it can create a wealth of success for businesses.

When to Use Marketing Automation Tools

This should look familiar to many of you. This is a basic build of the CVO process in an Infusionsoft campaign.
(NOTE: If you’re not familiar with the CVO process, you need to read this right now.)
This can be powerful for a small business since it allows you to automate the right messages going out at the right times to the right people. In addition, Marketing Automation platforms typically have a breadth of reports so businesses can make more data-driven decisions than ever.

Contact Relationship Management Tools

business-automation-marsden5
Using a contact management system, or CRM for short, has many values for a small business. With that said, when talking with other small business owners, many do not incorporate the use of a CRM in their business.

What Are Contact Relationship Management Tools?

A CRM can be instrumental for storing prospect or customer data, managing workflows, managing sales processes, and much more.
The benefit of incorporating a CRM solution cannot be understated. When you have a CRM solution in your business and you actually use it, you decrease the chance of human error (simple forgetful-ness for example) in regards to managing workflows and sales pipelines.
Just like the email marketing solutions mentioned above, CRMs typically have flexible API interfaces as well so you can integrate it other platforms, such as email marketing and shopping cart solutions.

When to Use Contact Relationship Management Tools

You should use a CRM as soon as possible. They allow you to keep track of your contacts, update them, create sales pipelines, and just store valuable information on a consistent basis with your contacts. This is why they are so beneficial in a business. Every business needs a filing cabinet to keep track of contacts, this is your filing cabinet.

Shopping Cart Tools

business-automation-marsden6
For the type of businesses that need to set up a store front on a website, accept payments for products or services, and do it all with the utmost encryption or security, then you need a shopping cart solution.

What are Shopping Cart Tools?

There are many shopping cart solutions out there so there can be a lot of confusion around which shopping cart solution is best for your business.
Just like the CRM and Email Marketing solutions mentioned, most shopping cart solutions have open API interfaces too so you can integrate them with other platforms.

When to Use Shopping Cart Tools

If you have any type of business, there is value in having a shopping cart.
Through a cart you can track purchases, frequency of purchases, average customer lifetime value, and give prospects the opportunity to purchase on their own through your funnels or website. Who doesn’t like to make money automatically?
If you are a small, service-based business, that handles a few transactions per month, then the argument can be made that you can get away with not having a shopping cart. Instead you can lean on solutions like Quickbooks, Freshbooks, or Paypal.
Other than that, just about every other type or level of business, can find use for a shopping cart. Also, keep in mind, to automate the entire sales cycle in a business, a shopping cart is essential.

All-In-One Solutions

business-automation-marsden7

This is a rarity in platforms for small businesses. Many of the solutions mentioned above have some sort of cross-list of features but there are only a few, true all-in-one solutions. All-in-one solutions allow you to automate much more than single-featured solutions mentioned above but they also have higher costs associated with them.
The value that offsets the higher cost is the fact that these all-in-one solutions, can handle multiple functions typically derived from multiple solutions which saves money from having to purchase multiple solutions and saves time by minimizing the time drain that can occur from having to bounce from system to system. When you are managing a growing business, this is a massive challenge that impedes growth and also takes businesses away from opportunities.

What are All-In-One Solutions?

The two main all-in-one solutions on the market today happen to be Infusionsoft and Ontraport.
Ontraport doesn’t have a true full slate of eCommerce functionality so if you need a shopping cart, Ontraport does not have one. Ontraport does have order forms so you can still automate the sales process. They both include full CRM functionality and rules-based, robust, marketing automation.
Essentially to duplicate the set of features that both platforms have, you would have to adopt Salesforce, Hubspot, and 3D Cart, which can easily cost you over $500 per month, to be able to match the same features that both Infusionsoft and Ontraport offer.

When to Use All-In-One Solutions

Infusionsoft and Ontraport both have a full CRM and Marketing Automation list of features.
Where they differ is that Infusionsoft has a fully-featured E-Commerce set, a more intuitive campaign builder with an easy to use graphical interface.
For example, if you need to set up a shopping experience on your website for when prospects want to add products or services to a cart, Ontraport does not allow this to be built out.
Infusionsoft also has a much larger pool of plug-ins to add additional features and functionality.
However, they are both powerful all-in-one solutions and fantastic.

Ok, now for the fun part…

Let’s take a look at some advanced automated processes that can be built out.
Keep in mind that these processes can be built out with a combination of platforms above through API, “out of the box” with the Marketing Automation Solutions or the All-In-One Solutions.
  1. Track lead sources and produce ROI reports that show cost per visitors, lead, and customer.
  2. Webinar registration and follow up
  3. Interest or behaviour-based offers
  4. Affiliate registration and follow up campaigns
  5. Sales process targeted follow-up and scheduled tasks
  6. Dynamic marketing based on actions, behaviours, purchases, and more.
  7. Full internal workflow processes
  8. Full billing and purchasing support; automated billing, emails when billing errors occur, assigned tasks
  9. Retention processes
  10. Responses when actions occur in membership-website based products
  11. Targeted up-sells, down-sells, or cross-sells
The possibilities are endless, especially when you are working with all-in-one or marketing automation solutions.
They are designed from the ground up to be very flexible, robust, and to work with outside platforms, plug-ins, and software solutions to create automated systems for your business.
When you are working with the stricter-featured platforms that focus solely on…
  • email marketing
  • contact relationship management,
  • shopping cart
… you’ll often end up “gluing” a bunch of solutions together resulting in a business that looks like this…
business-automation-marsden8
There’s significant value in using marketing automation or all-in-one platforms because they build systems that…
  • create efficiencies
  • scalability,
  • and additional revenue streams
… automatically within your business with a singular solution instead of a hodgepodge of API-connected solutions.
But these Marketing Automation and All-in-One systems are not for everyone.
Once a business starts to generate revenue and experience growing pains, that’s the ideal time to move into a Marketing Automation or All-In-One solution.
At the end of the day, keep in mind that the #1 priority as a business owner is to put systems in place for your business and ALL of the solutions do that to varying degrees.

Where to start with Business Automation?

I’ve created a spreadsheet that compares the functionality and cost of over 30 business automation tools.
It looks like this…
business-automation-marsden9
Use the comparisons in this spreadsheet and the information in this article identify the best solutions for your business.
And let me know if you have questions. My entire life is devoted to business automation and I would love to help you out in the comments section below.

6 Top Reasons You're Not Making Money Online

Let’s face the facts here, many people think Internet Marketing is easy.  They see the Ferrari’s and mansions and think they can simply push a button to start making money online.
This may sound obvious to some, but there is no “University of Internet Marketing” – you need to put in the blood sweat and tears and learn yourself.  Fortunately, there ARE plenty of legitimate training courses out there – just use  common sense before buying one.  If it sounds too good to be true, it usually (but not always) is.

STOP IT!  Just…stop already.  I can’t even begin to COUNT how many people fall for the get rich quick online  products that come out every single day.   They see the (rented) lambo, private jet and mansion.
They hear the fancy guru (actor) talk about how they came across (or stole) this TOP secret formula that will allow ANYBODY who can click their mouse 7 times to generate $135,345.45 per MONTH just as easy as one takes a breath or makes a cup of coffee.
They buy the product, try it out for 1 or 2 days then they buy the next one. This cycle happens continuously and they waste THOUSANDS of dollars on a fake online education never really getting any SOLID online training.
Internet Marketing is NOT about buying every damn ebook or product that comes out, really – it’s not…scouts honor!

You’d be SURPRISED how many people are guilty of both #2 AND #3.
They’re hypnotized and swayed by the latest gurus product, they buy it – but they’re too scared to start and just sit on their asses doing NOTHING.  I meet so many people that have ALL the knowledge.
They really DO know what it takes to succeed at Internet Marketing.  They know how to use wordpress, they know the basics of SEO, they know how to write a great email or set up a KILLER sales funnel with back end offers or OTO’s.  BUT – they never start because they’re SCARED to fail.
Increasing your knowledge is GREAT, there’s nothing wrong with that – BUT you need to actually do something with it.  Sitting on your butt doing NOTHING is going to get you nowhere, and fast.

I’ve found that MOST people don’t want to spend money as it’s risky for them.  They’d rather spend $5.00 on “100,000 visitors” (fake, robot generated) from fiverr.com than invest $100 in 200 REAL visitors via a solo ad or paid newsletter submission.
There are so many FREEBEE seekers out there that just download free ebook after free ebook but are scared to actually invest in a legitimate course or training.  Please keep this in mind, success doesn’t come without investing.  Time, or money – that’s your choice.
Money+Paid Traffic=Immediate Results
Time+Free Traffic = It’s going to take a while

Seriously, quit being lazy and jumping from false promise to false promise.  Find one LEGIT money making method and stick with it.
You know, I like to quote my friend and one of my early Mentors Brian G Johnson on this.  “There is no such thing as a person who fails at internet marketing, only a person who quits before the magic happens”.
Brian was one of the first REAL Internet Marketers that I EVER came across online, and those words have stuck with me ever since I first heard him online, and later met him in person.
Seriously, stick with it – don’t give up. BELIEVE in yourself and you’ll be truly amazed with what you can accomplish!
I want to show people that they’re NOT the only one’s in a particular boat, and many people are having the same struggles and fears.
There really are a ton of LEGIT ways to make money online, and quite a few legitimate products what will teach you this.

I mentioned lazy people above.  These are the people that jump from offer to offer, waste their money and never fully commit to their online marketing education. These are the people that are looking for the ‘push button millions’ that will never come.   I hate to say this, but get with it folks – there IS no magic bullet.  Hard work is required! *Gasp*

How to Get 60 Leads in 24 Hours With a Landing Page and a LinkedIn Group

How to Get 60 Leads in 24 Hours With a Landing Page and a LinkedIn Group

A few weeks ago a startup asked me to figure out the cheapest and most sustainable way for them to get 25 qualified leads to try their product. Like most startups they did not have a big budget for marketing experiments and needed to bootstrap to get some initial customers in the door.
24 hours later I generated 60 qualified leads for them using nothing but a simple landing page and a LinkedIn group. This process was so successful that they decided to repeat the experiment again.
I’ve done this many times and it works like a charm every time. Here is a step by step of how I did it.

Step 1: Nail Down Your Target Audience

There are billions of articles and books on the importance of defining your target market. I’m not going to give you a lecture on how to define your target market. I will say that for this technique which I’m about to outline you have to know exactly what type of people you want as leads.
In my situation above it was CIOs of enterprise on-demand companies. Some examples would be CIOs at Verizon, Comcast, Merry Maids, Home Depot, Geek Squad, etc.
In your case it’s whoever you think your customer is. Not too long ago I wrote an article titled ‘How I Sold My App to 10 People Before I Wrote a Line of Code and Then Launched It’.
In the article I share how I pitched my app idea to tons of different types of people to see who would actually pay for it. The goal was to get 10 people to pay me money before I start work on it. I ended up getting those 10 people to pay me and that’s how I knew who my target market really was before I started building the app.
That’s just one way to do it. There are millions of other ways to do this, which I will not delve into now. So as mentioned: know who your target market is.
As I said my target market for this example above was CIOs of on-demand enterprise companies.

Step 2: Largest LinkedIn or FB Group for Your Target Market

You need to find the largest and most active group there is on LinkedIn or Facebook for your target market. Notice the underline on ‘most active’. There are tons of groups which consist of a bunch of robots. You need to find the biggest and most active group for your target market.
In my case CIOs usually hang out on LinkedIn (not FB). So I did a few searches and found this group:
The CIO Network group on LinkedIn is 140,000+ members strong and extremely active. Taking a look at their discussions I knew this was the one to go after. Here are some of the discussions and frequency of posting:
Another thing to look for is any promotional materials being advertised in the group. After all you will be marketing to this group so you want to know how people do this. In my case I found some updates which looked like promotions:
Become a member of the group and test it out. Post some updates yourself, get a feel of the discussions which are added and how people respond to them. Get familiar with the group overall. Make sure this group has the types of people you want to have as leads.

Step 3: Write a Killer Piece of Content for This Group

Now find an old piece of content written by yourself or your team or write a new piece of content. This content must really engage the people in your target group. I’m talking about something that stirs folks up, gets them to reply and upvote and read at least 80% of what you’ve written.
In my case I picked the following article:
A Letter to the CIO of a Services Enterprise from the COO
See how this article speaks directly at CIOs about something they are all facing today? This grabs them and pulls them in, exactly what I’m trying to achieve.
Not too long ago my friends from BuzzSumo wrote an article titled: ‘Why Content Goes Viral: What Analyzing 100 Million Articles Taught Us’ where they report on what types of titles get most social media shares and why. I suggest checking that article out as you come up with your title.
So in short you need to have a killer piece of content for your audience. Want examples? Go to BuzzSumo and type in the keyword for your target market, you’ll find the most shared pieces of content.
Got your piece of content written and published? Ok, let’s collect some leads!

Step 4: Create a PDF Whitepaper Out of Your Article

This step is pretty straight forward, create a downloadable PDF out of your article. Format it nicely with your company bio or info all the way at the end of the whitepaper.
I ended up turning the LinkedIn article into this PDF.
The PDF is pretty basic, see how there is some information about the company towards the end? That is really the only thing you need to add to it.
Take out any dates associated with the article. You do not want your readers to know that it was an old piece of content or written and published somewhere else.

Step 5: Create an Opt-in Landing Page for Your PDF Whitepaper

These are typically called squeeze pages, the idea is that you’re “squeezing’ an email out of your visitor in exchange for something in return. In my case I created a page which looked like this:
Check out the live page here.
The page showed the very beginning of the article and asked the visitor to put their email address in to get the full PDF of the whitepaper.
The idea is that you pull them in with the copy on the landing page and then try to get an email address out of them. So be very picky with the copy you have on this landing page.
There is an article out there titled: Proof of Heaven, Propaganda and Feeding Your Audience Exactly the Meal They Asked For by Joanna Wiebe of Copy Hackers which is a gold mine when writing copy for pages such as this one. Read it, it has awesome tips in it on how to make this copy as best as possible.
I know people are going to ask so I’ll just say it, I used Unbounce to make this page above. However I’m a huge supporter of LeadPages as well. Both are awesome products and you can make a page like the one I made above in 5 minutes with either product.

Step 6: Make Sure Your Landing Page Is Hooked to Your Email Provider

You want to collect an email address and make sure people who sign up get a nice email back with the PDF they want to read. So make sure to integrate with MailChimp or another email provider such as Aweber which will send out emails to your subscribers automatically. Here is what my auto email looked like:
Subject: A Letter to the CIO of a Services Enterprise from COO
Hi Jerry,
Thanks for downloading my letter titled “A Letter to the CIO of a Services Enterprise from COO”. To access the PDF just click on the link below.
[DOWNLOAD PDF] A Letter to the CIO of a Services Enterprise from COO <--
I hope you enjoy this content! I’d love to hear your feedback and thoughts on the 5 most important market dynamics for the technology leaders in 2015 I talk about in the letter.
Best,
Alex Beletsky
COO, Dispatch
http://dispatch.me
Just make sure this email is working well. Test your landing page out.

Step 7: Find the Owner of the Group and Ask for Promotion

Now you are ready to get traffic to your landing page from the group you identified. The idea is to get emails of leads who are interested in your content. Once they sign up to get the PDF you can follow up after and try to sell them (more on that later).
In my case I find the owner of the LinkedIn or Facebook group and reach out to them asking the following:
I’m a member of your LinkedIn group and recently came across one of your articles on your blog about the changing environment for CIOs. I really enjoyed the article.
I’m currently in process of writing a guest article for CIO.com and wanted to see if I could interview you for the article. Your group and company would get good exposure form it. I have another opportunity to publish a similar interview on CIO-Today.
Let me know if you’d be interested.
Cheers,
-Dmitry
In most cases the person responds and says “sure”. They have nothing to lose and a potential to gain some good exposure. After they respond with an email I end up writing this email:
Sound good, I’ll interview and promote you on these top three CIO sites. In return would you be able to promote a whitepaper for CIOs which I just wrote to your group? Just a quick update to the entire group. Here is the link:
http://try.dispatch.me/lettertocio/
Now I wait until the owner responds. The idea is that you scratch their back and they scratch yours. You interview them and promote the interview to three different sources which are well known. It can be three slightly different interviews.
Most of the time the owner of the biggest LinkedIn or Facebook group for your target demographic is some type of expert or at least well regarded in the field for what they do. So getting an interview published with them in a targeted publication should not be that hard.
In return ask for a direct email blast of the group but an update is also acceptable. Never hurts to ask for an direct email blast of course.
If it’s an email blast you’ll need to do more copy editing to make sure the email speaks to your recipients. Come back to that article ‘Proof of Heaven, Propaganda and Feeding Your Audience Exactly the Meal They Asked For’ by Joanna Wiebe, it will help you craft this email.
A very good friend of my Dan Fagella built his entire business to $40K/month in 2 years just by following this very same approach:
  1. Find an expert in the field
  2. Interview them
  3. Promote them and ask to be promoted in return
Here is an article titled How I grew my Startup to $40K Using Emails and Good Content detailing the complete procedure and how you go about accomplishing this.
Remember to make sure the group owner promotes the landing page you created.

Step 8: Watch the Leads Roll In and Follow Up

That is it really. You get a few interviews published with the group owner on hot publications. The group owner gets some exposure. In return the group owner promotes your landing page, the group members see it, click it and subscribe to read the PDF. Your job now is to:
  • Count the number of total leads you got
  • Follow up with the leads within 2-5 days of them singing up to get your PDF
Unbounce or whatever service you use keeps tracks of the leads. You can integrate it with Salesforce if you like.
You have about 5 days until your leads become completely cold and forget all about you. So you want to follow up and ask how they liked your PDF within 5 days.
Also remember it takes about 5 follow ups to close a deal. A very good friend Saph runs a site helping people write better email copy, I suggest you take a look at this section on sales follow up emails to make sure you’re effectively following up.
My sales follow up email looked like this:
Hi (First Name),
(Insert Your Name) here from (Company Name). Alex mentioned that you just expressed interest in his ‘Letter to the CIO of a Services Enterprise from the COO.’ I wanted to follow up and make sure you received the PDF in the email OK.
I was just checking out your profile and saw that (Insert personal bit here)
(Insert question about the personal bit above)
We’d love to learn more about you and your work at (Insert Their Company Name)
Looking forward to connecting.
-(Your Name)

Conclusion

That is it! Give it a try. I’d love to hear your feedback and comments as you get going with this approach.
If you want to get some quick qualified leads you do not need fancy ad campaigns and you most certainly do not need to spend a lot of money. A targeted piece of content toward a popular and targeted LinkedIn of Facebook group will do wonders in terms of generating leads.
